Scope
This Privacy Policy applies to the Greenlight Medical website at getgreenlightmed.com and the forms, calculators, directories, checklists, and scheduling experiences available through it (collectively, the “Site”). In this policy, “Greenlight Medical,” “we,” “us,” and “our” refer to Greenlight Medical.
This policy does not govern information we process for a healthcare customer through our contracted services. That processing is governed by the customer agreement, any applicable Business Associate Agreement (“BAA”), and the customer's instructions. If those terms conflict with this policy, those terms control for that customer data.
1. Information we collect
Information you provide.
When you request a demo, contact us, use a calculator that asks for results by email, or schedule a call, we may collect your name, work email address, phone number, organization, job title or role, facility type, practice volume, workflow details, and the content of your request. Calculators may also collect the operational inputs you enter and the results they generate, such as authorization volume, labor estimates, denial rates, or estimated savings.
Scheduling information.
If you schedule a meeting through Calendly, Calendly collects the information you submit and may provide it to us so we can arrange and conduct the meeting.
Information collected automatically.
When you use the Site, our hosting and analytics providers may process technical and usage information such as your IP address, timestamps, requested pages, referring page, approximate region, browser, device, and operating system. We also record aggregate interactions, such as whether a visitor opened the booking calendar or selected a call-to-action. We do not intentionally include form contents in analytics events.
Browser-only tools.
Some tools explicitly state that the information entered stays in your browser. For those tools, we do not receive the text or values you enter unless you separately submit them to us. Ordinary page-view and interaction analytics may still apply.
2. How we use information
We use information to:
- operate, maintain, secure, and improve the Site and our tools;
- respond to inquiries, deliver requested results, and schedule meetings;
- evaluate whether our services may fit your organization's needs;
- send service-related messages and other communications you request or permit;
- understand aggregate Site usage and measure the performance of our content;
- detect, investigate, and prevent fraud, abuse, security incidents, and technical problems; and
- comply with law, enforce our agreements, and protect our rights and the rights of others.
3. HIPAA and health information
Do not submit patient information through the public Site.
The Site's public forms and tools are not intended to receive protected health information (“PHI”), medical records, patient names, member IDs, dates of birth, or other patient-identifying details.
This Privacy Policy is not a HIPAA Notice of Privacy Practices. HIPAA does not apply to every organization or every type of information. When Greenlight Medical provides contracted services that involve PHI for a covered entity or business associate, we handle that information under the applicable BAA, customer agreement, and HIPAA requirements.

6. Data retention and security
We retain information for as long as reasonably necessary for the purposes described in this policy, including to provide requested services, maintain business and legal records, resolve disputes, enforce agreements, and meet legal obligations. The appropriate period depends on the information's nature, sensitivity, purpose, and applicable requirements. We may retain deidentified or aggregated information where permitted by law.
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Your choices and privacy rights
You may opt out of non-service marketing email by using the unsubscribe link in the message or contacting us. You can control browser cookies through your browser settings, though blocking some technologies may affect embedded features.
Depending on where you live and subject to legal exceptions, you may have the right to request access to, correction of, deletion of, or a copy of your personal information; to object to or restrict certain processing; or to withdraw consent where processing relies on consent. You may also have the right to use an authorized agent and to appeal our response. We will not discriminate against you for exercising an applicable privacy right.
To make a request, email info@getgreenlightmed.com with “Privacy Request” in the subject line. Describe your request and the email address or other information you used with us. We may need to verify your identity or authority before completing the request.
8. Other important information
Children's privacy.
The Site is intended for healthcare professionals and other adults. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us so we can review and delete it as appropriate.
International visitors.
Greenlight Medical is based in the United States. If you access the Site from another country, your information may be processed in the United States and other locations where our service providers operate, subject to applicable law.
Third-party sites.
The Site may link to websites or services we do not control. Their privacy practices are governed by their own policies, and we encourage you to review them.
Changes to this policy.
We may update this Privacy Policy as our practices, services, or legal obligations change. We will post the revised policy here and update the “Last updated” date. If changes are material, we may provide additional notice when required by law.
