Getting prior auths approved faster starts with knowing how to navigate each payer's process.

Use the Portal, Not the Phone

Electronic submissions through payer portals or Availity are processed faster than phone or fax. Most payers prioritize electronic PA requests and many offer near-instant decisions for straightforward cases.

Know Your Imaging Vendor

Many payers route imaging PAs through vendors like eviCore or AIM Specialty Health. Calling the main payer line for an imaging PA wastes time. Go directly to the imaging vendor's portal or phone number.

Submit Complete Documentation

Incomplete submissions are the #1 cause of PA delays and denials. Attach all clinical notes, relevant test results, and prior treatment history with your initial request to avoid back-and-forth.

Call Early in the Day

If you must call, do it within the first hour of the payer's business hours. Hold times are shortest in the morning. Avoid calling on Mondays and the last hour before close.

What is the difference between the payer and the imaging vendor?
Many insurance companies delegate imaging prior authorization to a specialized vendor like eviCore or AIM Specialty Health. When your patient needs an MRI or CT, you often need to contact the imaging vendor directly rather than the main payer phone line. This directory lists both so you can go to the right place immediately.
What is Availity and which payers use it?
Availity is a health information network that acts as a clearinghouse for electronic transactions between providers and payers. Many major payers including UnitedHealthcare, Anthem, Aetna, Humana, and several BCBS plans use Availity as their primary portal for prior authorization submissions, eligibility checks, and claims management.
Why do BCBS prior auth phone numbers vary?
Blue Cross Blue Shield is a federation of 34 independent companies, each with their own phone numbers, portals, and PA processes. A BCBS member from Michigan has a completely different PA process than one from Texas. Always check the member's ID card to identify the specific BCBS plan.
Can I submit prior authorizations electronically to all payers?
Most major commercial payers now support electronic PA submission through their own portals or Availity. However, some state Medicaid programs and smaller regional plans may still require phone or fax submissions. The CMS Interoperability and Prior Authorization rule is pushing all payers toward electronic PA.
